This template is designed for anyone who does any amount of tasks, big or small, or wants to build a central body of knowledge that can be relied upon for years to come.

What's Included?

Consistent framework & design across:

  • Note Keeping and References Hub
  • Project & Task Hub
  • Goal Hub with Milestones
  • Life Areas to house all of those
  • Quick Capture & Process Platform for easy brain dump and routing later
  • Quick History in every view to get back to where you just were
  • Instructions on how to use it

Some things you could use it for:

  • Manage your bathroom remodeling project or keep track of clients over the sales process.
  • Save & share your favorite recipes or create standard operating procedures to view from any device.
  • Reach your goals of paying off your $218,223.23 student loans & reading 10 books this year while staying motivated along the way.

The amount of freedom you feel and time you save when you don't have to remember the little things is unexplainable. It makes anything you want to do seem more achievable.

And, the best part, this is a single, one-time purchase personal tool that will always be there for you to use whenever you need it. It will forever and irrevocably be yours to use as you please. It's not like technology is going anywhere.

So... What does it do and why do I care?

It's kind of hard to explain what it does... but at some point it will click, if you hang tight.

It's sort of like a Word document + an Excel sheet (but only if you want!) + a calendar for tasks, projects, and goals + OneNote/Evernote notebooks, all wrapped into one incredibly easy-to-use page. It takes some learning, but it's all familiar, so not much.

And, while it's intended for personal use, the ability to assign tasks to other people is already built in, so invite your team!

This means that you can build projects and notes to share with your team, such as gardening projects or some meeting notes, or share (or keep) an entire resource that you build over time.

What are the different sections?

It helps to understand how they work together. When you know how to effectively categorize the different aspects of your life, taking control of it all makes more sense.

Basic order:

  • 🗄 Areas (can) contain -> 🏆 Goals that have 📌 Milestones AND/OR 🔨 Projects that have ✅ Tasks.
  • You can then use your collected 📒 Notes AND/OR 📦 Resources to help you achieve any of the previously mentioned.

Wordy explanation:

  1. 🗄 Area:

An Area is a central topic in your life that serves as an overarching category. Unlike projects or tasks, areas don’t have a defined end point; they represent continuous parts of your life. Multiple projects, tasks, and goals can fall under a single area, making it a foundational category to help you organize and relate different components of your life around a common topic.

    Example areas:
    • 🏬 Work
    • 🏡 Home
    • 📺 Entertainment
    • Travel

  2. 🔨 Project:

A Project is a planned series of tasks aimed at achieving a specific outcome. Housed within an overarching area, projects can contain notes and resources for support. Additionally, projects can be related to a broader goal to acknowledge its role in achieving that target.

Example projects for the area 🏡 Home:
    • 🛀 Remodel the upstairs bathroom
    • 🚗 Buy a new car (Nissan Rogue?)
    • 📝 Personal admin tasks

  3. Task:

A Task is a single actionable step or activity geared towards achieving a particular outcome. It’s the smallest unit of work and has a clear objective. Tasks are the building blocks of a project, and each one contributes to the progression and completion of that project. They provide clarity and direction on what needs to be done at any given moment.

Larger tasks can be broken into smaller, more manageable tasks to keep track of all necessary details.

Example tasks for the project 🛀 Remodel the upstairs bathroom:
    • Design the bathroom layout
      • Measure dimensions
      • Decide on the overall theme and feel of the bathroom
      • Sketch starting design
    • Initial Planning Complete
      • Determine a budget for the whole project
      • Research for bathroom ideas & inspiration
      • Decide on a bathtub or shower enclosure type

  4. 🏆 Goal:

A Goal is a desired outcome or result that you aim to achieve. It usually doesn’t have direct steps to reach it but has Milestones along the way. Goals give direction and purpose to the tasks and projects you undertake. Additionally, Goals are often broader than projects and multiple projects or areas can be associated with them.

    Example goals:
    • 🏆 Get below 200 pounds
    • 🏆 Have a fully finished and livable house with all amenities
    • 🏆 Completely understand Notion

  5. 📌 Milestone:

A Milestone is a significant checkpoint on the path toward a goal. It's a measurable achievement of progress towards the desired outcome. While a goal is broad, milestones break it down into tangible steps, offering clarity, tracking, and motivation as you head toward your overarching aim.

Example milestones for the goal 🏆 Have a fully finished and livable house with all amenities
    • 📍 Basement finished
    • 📍 All utilities connected
    • 📍 Furniture finalized
    • 📍 Security system in place

  6. 📦 Resource: A Resource is a central collection of information related to a specific topic within an area of your life. It holds all the notes, tools, and materials relevant to that topic.

Example resources with their areas underlined:
    • 🎦 Entertainment - Movies & TV
    • 👾 Entertainment - Memes & Such
    • 🐲 Entertainment - Dungeons & Dragons
    • 🍝 Food - Cooking & Nutrition
    • 🏃‍♀️ Health - Fitness
    • 🛋 Home - Interior Design
    • 💻 Tech - Software Management
    • 👨‍👨‍👧‍👦 Personal - Geneology

  7. 📒 Note: A Note is a recorded piece of information, web clip, or documentation that can contain the entire range of Notions capabilities for later use. It is the fundamental unit of captured knowledge. They can be related to any task, project, or goal and are contained in resources or areas.

Keep in mind, Notion is an incredibly versatile program. You can create notes as simple as a funny one-liner from a show you were watching, or as in-depth as an entire document on how to run a business. Notes are the key storage of knowledge that can be referred to at any point.

Example notes for the project 🛀 Remodel the upstairs bathroom:
    • 📝 75 Double Shower Ideas You'll Love - October, 2023 | Houzz
    • 📝 Designing a Bathroom for a Couple | Modernize
    • 📝 These Bathroom Design Ideas Will Make You Want to Decorate ASAP
Or make your own notes like:

    • 📘 Book Notes
    • 📝 Any website, article, content, photo, or any other idea you want to save without having to memorize

Personal Testimony

What Do I Use It For?

  1. I want to do a lot of things in life: do well at my job (remodeling contractor), hang out with friends, manage my bills, keep up with the news, go places, eat places, watch movies, play games, and still manage to eat well and sleep at night. That's a lot. This helps me quickly get things out of my head so I can focus on spending as much quality time on the activity at that moment.
  2. I'm creating notes & documentation that will be used for years to come. I can't imagine a better system for keeping similar topics together. The fact that I can drag and drop any file type into a project or resource and view it from any device (mobile/desktop) removes a lot of headache bouncing between ios and Android and my desktop.
  3. Oh, man... One of the hardest things in my life is my relationship with food. From the start, I wanted a personal recipe tracker and meal planner to help me eat better. One of the best benefits of this general framework is that it allows you to add anything you want to the Information Station and easily integrate it with the main Hub. I have 60+ recipes in my Recipe Book. I have a project to add about 60 more 😊 It's as fun as it is helpful.
  4. It doesn't have to be big either. I bring receipts in from my car at the end of every month. Quick tasks for the little admin things.
  5. And, of course, I use it to track my sales activities and ensure that I never miss a deadline. Additionally, projects typically have the same order of tasks and timeframes to do those tasks. Using project templates, I can create a new project at the click of a button that has all of the typical tasks that I need to accomplish. These are entirely customizable and easy to make. When I notice a group of projects coming up with similar tasks, I'll use a button real quick so I only have to do it once. Super time saver.

Is it really worth $120?

That's up to you to decide. I see two types of people that can use this: people who want to keep their personal life in order and people who want to get control of their work life and future ambitions.

For example, I'm an independent contractor that deals with very professional work. When you really break down how much money I make during revenue-generating activities, it's at a pretty unreasonable level. My focus should be on that at all times.

Similarly, most people have a hobby, most people have projects, and most people want to spend as much time doing the things they care about. It really just depends on how much value you put on various aspects of your time. (blog post on that later)

Whether you provide a service or not, it's pretty simple to me. You gain permanent and irrevocable access to a tool with a one-time purchase, whereas some companies charge hundreds of dollars every month for a fraction of the functionality.

I'd be happy to explain how I can get you 10 hours back and have it pay for itself. Hope it helps 👍
